Paying for accommodation :
Accommodation may be paid by cheque made out to the Comité Départemental de Tourisme (Vaucluse Tourism Board), by credit card (Visa, MasterCard or Eurocard by providing card No. and expiry date + a photocopy of your credit card details), using Holiday cheques or by bank transfer: see bottom of page for more details.
Payment is to be sent with your rental contract (deposit) or invoice (balance payment).
I- Period of stay: the rental period cannot be extended without prior agreement from the booking agency. Accommodation is reserved exclusively for the use of those named on the booking form and strictly no other person is permitted to stay. Subletting, sharing and assignment are prohibited.
II- Booking: A booking is considered accepted once a deposit of 25% of the total rental, booking fees and two signed copies of the rental contract have been received by the booking agency before the due date mentioned in the contract.
III- Full payment: The balance due must be paid to the booking agency within a month before departure. We reserve the right to cancel your booking and retain any deposit held if you fail to pay the balance by the due date. Your previously booked accommodation will therefore be re-advertised.
IV- Late bookings: In the event of a booking made 30 days before departure, the full amount is payable at the time of booking.
V- Acknowlegdement of receipt: The booking agency shall send an acknowledgement of receipt once your payment has been received, which you shall show the property owner of your accommodation upon arrival.
VI- Arrival: Accommodation will not be available until the agreed date of arrival during the hours mentioned on the acknowledgement of receipt. You are requested to call us (telephone number mentioned on the acknowledgement of receipt) if unforeseen circumstances mean you will arrive late.
VII- Cancellation on your behalf: Any cancellation must be notified in writing by registered letter or telegram directly to the booking agency.
* Please refer to the attached insurance form if you hold cancellation insurance.
* If you do not hold cancellation insurance, cancellations are subject to a fee expressed as a percentage of the overall holiday cost:
- More than 30 days before departure: 10% of the total amount.
- 30 to 21 days before departure: 25% of the total amount.
- 20 to 8 days before departure: 50% of the total amount.
- 20 to 8 days before departure: 75% of the total amount.
- Less than 2 before departure: 90% of the total amount.
Refunds shall not be made spontaneously: you must claim all due refunds.
VIII- Substantial booking changes made by the booking agency :On rare occasions, circumstances beyond our control make it necessary to alter holiday arrangements before departure. If it is necessary to make any change to your accommodation, we will always do our best to provide you with an alternative of an equal or better standard to that booked. After having been informed by the booking agency by registered letter with acknowledgement of receipt, without prejudice to claim for compensation for possible damage caused, you may:
- Cancel and receive a full refund of your payment.
- Accept the changed arrangements, in which case, the rental contract shall be amended and signed by both parties. Any changes in prices shall be deducted from the possibly remaining balance and if the total amount already paid exceeds the new price, the difference will be refunded before the departure date.
IX- Cancellation on behalf of the booking agency: On rare occasions, circumstances beyond our control may make it necessary to cancel holiday arrangements before your departure. In this case, without prejudice to claim for compensation for possible damage caused, the total amount already paid will be immediately refunded. You will also receive compensation at least equivalent to the penalty incurred if you had cancelled your stay yourself. Such measures do not apply in the event that an agreement is reached whereupon you accept an alternative holiday rental.
X- Changes to accommodation services stipulated in the contract: If during your stay, the property owner is unable to provide a substantial number of services guaranteed in the contract – representing a notable percentage of your rental cost – the booking service shall, without prejudice to claim for compensation for possible damage caused, do its best to provide you with an alternative of an equal or better standard to that booked, as well as pay for any possible extra costs. If this alternative is of lower standard, the booking service shall refund the difference in costs before your stay comes to an end. If no alternative can be provided, or if you refuse all alternatives for good reasons, the booking service shall provide compensation calculated on the same basis in the event of cancellation.
XI- Curtailment: No refund whatsoever shall be made unless the reason for having interrupted your stay is covered by your cancellation insurance.
XII- Accommodation capacity: This contract has been drawn up with a maximum occupancy level in mind. If the number of people exceeds the accommodation capacity, the property owner has the right to refuse extra guests.
XIII- Pets:This contract stipulates whether pets are accepted or not by the property owner. Even if this clause is not stipulated, the property owner still holds the right to refuse pets.
XIV- Insurance :You are responsible for all damage incurred during your stay. You are therefore recommended to take out an insurance policy to cover such risks.
XV- Invetory of fixtures:It is in your interest to see that the inventory of fixtures is accurate so that any loss or damage is not wrongly attributed. The inventory is carried out by the property owner in your presence and duly signed by both of you, as this document represents the only legally binding document in the event of claims.
The cleanliness of accommodation upon your arrival is to be mentioned in the inventory. You are responsible for all cleaning during your stay and preceding your return home.
XVI- Security deposite:Upon your arrival, a security deposit of the amount indicated in the descriptive brochure and contract should be paid to the property owner. This deposit will be refunded at the end of your stay or several days after your stay has ended.
XVII- Payment of additionnal costs:At the end of your stay, you shall pay the property owner for all costs incurred during your stay that are not included in the original accommodation price.
XVIII- Liability: The Booking Service shall not be under any obligation to pay compensation where any change to or cancellation of your holiday is caused by 'force majeure' circumstances (i.e. those outside our control, namely: war or threat of war; riots; civil strife; industrial dispute; airline grounding, terrorist activity; natural or nuclear disasters, fire or adverse weather conditions and all similar events).
XIX- Claims: Any cause for complaint regarding the inventory of fixtures or the description of your accommodation must be notified within the 3 days following your arrival. All other complaints concerning your stay must be made in writing within the briefest possible delay and sent to the Booking service. Claims regarding the implementation of this contract are governed by Private French Law within the competence of the law courts in Avignon.
